Step 13: Editing Word, Excel, and PDF Files

This video shows administrators how to edit Excel and PDF files directly within CapLinked and permanently redact sensitive information from a document using the built-in PDF Editor.

  • From a file's Overview page, admins can click Editor to open and edit an Excel file directly in the browser (adjusting cell values, using Insert and other toolbar functions) without needing to download it first (0:31-1:15).
  • Opening a PDF with the PDF Editor gives access to annotation, e-signature, and text-editing tools, including a Redact tool that lets admins search for a keyword (e.g., a company name), select all matching instances across the document, and permanently remove them — a warning confirms this action cannot be undone (1:18-2:26).
  • Once changes are saved, CapLinked automatically creates a new file version (e.g., V2), which appears in Version History where admins can view, download, restore ("Make Current"), or delete previous versions (2:26-2:38).
